SMS Privacy Policy

The Cheer and Pom SMS notification service is operated by C2 Content & Consulting LLC ("we," "us," "our"), which owns and operates this website, the enrollment form, and the sending phone number. Messages are sent under the Cheer and Pom name. This Privacy Policy explains how we collect, use, and protect information in connection with that SMS notification service (the "Service"), which delivers team absence notifications to adult volunteers aged 18 or older who serve as head coaches, assistant coaches, designated team parents (sometimes called team moms), or the Cheer and Pom Director.

1. Information We Collect

When you participate in the Service as a recipient (head coach, assistant coach, designated team parent, or the Director), we collect:

Your full name and role
Your mobile phone number
Your email address (if provided during volunteer onboarding)

When a parent submits an absentee form, we also collect the following information solely for the purpose of relaying it to the athlete's coach and team parent:

Athlete name
Team affiliation
Date and type of absence (practice, game, or competition)
Reason for absence
Submitting parent's name, phone number, and email address

2. How We Use Information

We use the information we collect solely to:

Send SMS notifications to the head coach and team parent of the relevant team when an absence is reported
Maintain an internal absence log for coaches and the Director for accountability and practice planning
Send the submitting parent an email confirmation that their absence report was received
Respond to service-related inquiries, including opt-out and help requests

3. Information Sharing

We do not sell, rent, share, or disclose your mobile phone number or any personal information to third parties for marketing or promotional purposes under any circumstances. Your phone number is used exclusively to deliver SMS notifications related to Cheer and Pom team operations.

We share information only with the following service providers, and only to the extent necessary for them to operate the Service on our behalf:

Twilio, Inc.: SMS message delivery
Google LLC: form submission, data storage, and email delivery

These providers are contractually obligated to use the information solely to deliver the Service and are prohibited from using it for any other purpose.

4. SMS Opt-Out

You may opt out of SMS messages at any time by replying STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, or QUIT to any message received through the Service. You will receive a one-time confirmation of your opt-out, after which no further SMS messages will be sent to your number. You may opt back in at any time by replying START. For assistance, reply HELP or contact us using the information below.

5. Message Frequency and Rates

Message frequency depends on the number of absences submitted for your team and varies throughout the season. Standard message and data rates may apply based on your mobile carrier plan. Cheer and Pom does not charge to send or receive SMS messages through this Service. Please consult your mobile carrier for information regarding your plan's messaging rates.

6. Data Retention

Absence records are retained for the duration of the current competitive season plus one (1) additional year for organizational recordkeeping. Phone numbers of opted-out recipients are retained solely to ensure opt-out requests continue to be honored.

7. Data Security

We maintain reasonable administrative, technical, and organizational safeguards to protect the information we collect. Access to absence records is restricted to the applicable team's head coach, designated team parent, and the Cheer and Pom Director.

8. Children's Privacy

The SMS Service is intended solely for adult volunteers aged 18 or older who serve as head coaches, assistant coaches, designated team parents (sometimes called team moms), or the Cheer and Pom Director. We do not knowingly collect information from, or send SMS messages to, anyone under the age of 18.

9. Your Rights

You may request to review, correct, or delete personal information we hold about you by contacting us at the email below. We will respond within a reasonable timeframe.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The "Effective Date" at the top of this policy reflects when it was last revised. Material changes will be communicated to active recipients via SMS or email.
